Car rental pickup & documents
Collecting a rental car is usually simple when you arrive prepared. Most pickup problems happen because a document is missing, the payment card does not match the driver name, or the rental provider has a rule that was not checked before arrival.
Before you go to the rental desk, make sure you have the right documents, payment card, booking confirmation, and pickup information ready.
Minerave helps you understand what to prepare before collecting the car, so the pickup process is smoother and less stressful.
What to bring when collecting the car

Many rentals require a credit card in the main driver’s name for the deposit at pickup.
Booking voucher
Keep your confirmation, booking reference, provider name, pickup location, and travel dates ready.
Driving permit
Some destinations may require an international driving permit together with your original licence.
Saved copies
Save an offline copy or screenshot of your confirmation, voucher, and important pickup terms.
Pickup details to check before arrival
Where do I collect the rental car?
Airport rentals, city offices, train station desks, shuttle pickup points, and hotel delivery services can all work differently.
Before arrival, check:
- The exact pickup address
- Whether the desk is inside the airport terminal
- Whether a shuttle is required
- Where to meet the provider
- Whether the provider has more than one office nearby
Do not rely only on the general city or airport name. Always check the exact pickup instructions in your confirmation.
What if the rental desk has limited opening hours?
Rental desks may have limited opening hours. Some providers charge extra for late pickup, early pickup, or out-of-hours service.
Before arrival, check:
- Opening hours
- Last pickup time
- Out-of-hours fees
- Late arrival rules
- What happens if your flight is delayed
If your flight is delayed, contact the rental provider as soon as possible using the details in your confirmation.
Do I need to add my flight number?
Some airport rental providers ask for your flight number so they can track delays or prepare the pickup.
Before pickup, check:
- Whether your flight number was added to the booking
- Whether the provider tracks flight delays
- Whether late arrival rules still apply
- Whether the desk will stay open if your flight is delayed
Adding a flight number does not always guarantee late pickup, so always check the provider’s terms.
What should I check before signing?
Before signing the rental agreement, take a moment to check the details.
Review:
- Rental dates and return time
- Fuel policy
- Mileage limit
- Deposit amount
- Insurance and excess
- Added extras
- Additional driver fees
- Cross-border rules
- Return location
- Late return fees
If something is different from your booking confirmation, ask the provider before signing.
What should I inspect before driving away?
Before leaving the pickup location, inspect the car carefully.
Check:
- Scratches and dents
- Tyres and wheels
- Windows and mirrors
- Lights
- Fuel level
- Mileage
- Interior condition
- Warning lights
- Included equipment
Take photos or videos before driving away, especially if you notice existing damage. If damage is not listed on the rental document, ask the provider to update it before you leave.
Who handles pickup issues?
If the booking is completed through a rental provider or booking partner, the provider usually handles the pickup process directly. This can include document checks, deposits, vehicle release, damage records, local fees, insurance options, and rental agreement details.
Minerave can help you understand what to prepare and where to look, but we usually cannot release the car, override provider requirements, change pickup rules, or approve missing documents.
What should I keep after pickup?
After collecting the car, keep the most important details saved.
Keep:
- Rental agreement
- Booking confirmation
- Provider contact details
- Pickup photos or videos
- Damage report, if applicable
- Deposit receipt or card hold information
- Return instructions
- Emergency or roadside assistance number
Keeping these details can help if there is a question during or after the rental.
